Architectural Review Committee - Yearly Report for 2022

The Architectural Review Committee reviewed 368 applications from January to November this year. Many Roof and Cage replacements have been submitted since Hurricane Ian.

The committee reviewed and updated the ARC Application for clarity with the inclusion of Solar for electric and water heating including Solar tubes.

I would like to thank our previous and new members of the committee for their endless hours of contributions to the board. While Hurricane Ian closed many of our facilities, the Architectural Review Committee continue to review the applications for emergency repairs. We feel our neighborhood could not be as beautiful as it is without our volunteers.

Welcoming Committee – Year End Report – 2022

Presented at the HOA Annual Membership Meeting December 14, 2022

I am Kathleen Petrillo and have been a member of the Welcoming Committee since January 2018. I was acting chairperson from 4/1 to 9/30/22 and now chairperson from 10/1/22 to 9/30/23

We currently have 7 members comprising the Welcome Committee

There has been a total of 97 house closings from January 1 to December 1, 2022. About 10 of these were Heron’s Glen residents who purchased new homes on the Mystic Way extension or another second home.

Our goal is to have a one on one with each new homeowner. When a new resident registers in the HOA office, a form is given, which in turn invites a member of the committee to greet them and share some highlights about our community, such as communications, various activities available, and a tour of the clubhouse and common areas, if desired.

As in the past year, we plan to have a gathering of the new homeowners every other month so they can meet each other and learn more about our community. These have been very well received and many new friendships have been formed.

Bingo – Year End Report

Bingo starts the first Tuesday in September and ends the last Tuesday in May, 39 weeks. Doors open at 6:00 p.m. bingo starts at 7:00 p.m.

In 2021 our total attendance in those 39 weeks was 6501. March 8, 2021, we recorded our largest crowd of 240.

In the first 13 weeks of the 2021/22 season our total head count was 1798 in the first 13 weeks of the 2022/23 season our total head count is 1849 and we were closed two of those 13 weeks because of hurricane Ian.

Activities Committee Year End Report

Presented at the HOA Annual Membership Meeting
Of December 14, 2022

Thank you to the HOA Board, to Joyce Gillespie and the staff in the HOA Office. With their support and counsel, we were able to present to the residents many events hosted by this Activities Committee. Thank you again.

Our first meeting was held on January 22, 2022.

Members of the Activities Committee for this new year from October 1, 2022, through September 30, 2023, include Pat Stuchly, Chair; Bernadette Schirra, Secretary; Debbie Baker, Treasurer; Theresa McGarry, Jean Lambeseder and Debbie DeFazio and Donna Piascik; alternates are Sandy Mamer and Peggy Lindquist; and HOA Board liaison Denise Fell.

Activities/events hosted by the Activities Committee for 2022 were:

1. Our first event hosted by this Committee was the Activities Fair held on January 20, 2022. Many sport clubs, organizations, and other activities available to residents were represented. This event was well received by all.
2. The annual Shredding event was held on February 21, 2022, in cooperation with the HOA SSEP Committee Firewise Day.
3. The Ice Cream Social was held April 10, 2022, in the Ballroom. Many dishes of ice cream embellished with hot fudge, nuts, whipped cream and topped with a cherry were served safely to the residents thanks to the Committee and additional volunteers. Music was provided by Paul Lowe and Bob Foster. Thanks to all who made this a wonderful event.
4. This November 15 and 16, 2022, members of the Committee, along with several residents, met at the entrance of Herons Glen to put up Christmas decorations. I would like to applaud these people and to thank them for helping light the way for Santa and his sleigh.
5. The 5th Christmas Golf Cart Parade was held on Sunday, December 4, 2022. The Marching Gator Band at Island Coast lead 21 decorated golf carts through the streets of Herons Glen. I received many positive comments from the residents stating this parade brought a Christmas spirit to our community, and, I must agree.

President’s Report - Annual 2022

We are wrapping up our year with our Annual HOA meeting, held in the Ballroom, which will include annual reports from each of our committees. We also have arranged for speakers we feel will be of interest to our residents. As you are probably aware, various requests have been published asking for proxies for the annual meeting. Under Florida statues, HOAs are required to have an annual meeting each year with a minimum of 30% of the owners in attendance. We must verify the legitimacy of each owner and count only one per parcel. If we did this at the meeting it would require an inordinate amount of time to verify each owner’s identity and lot. Getting the proxies submitted in advance streamlines this process, assuming we get the required minimum, so we can proceed with an orderly annual meeting, that hopefully residents will find informative.

FEMA is planning pass through Herons Glen one more time to pick up storm debris (horticulture waste) properly placed by the curbside so it can be picked up by their contractors. It is important to clear all remaining storm debris. Ian had a significant affect on Herons Glen, to the resident properties as well as the HOA properties and common areas and to the Rec District. This required substantial expense on behalf of both the HOA and the HGRD. Hopefully, FEMA will eventually reimburse at least some of these expenses. As previously reported a generator with underground propane supply will be installed at the Guard House so operations and communications can continue in the event of a power interruption.

Some of the more significant HOA accomplishments this year include:

Bulk purchase of house numbers (for lighted displays); $5 each for residents

First “in person” Volunteer Appreciation Reception in 2 years

Updates to ARC and Grounds
requirements; including Solar device standards
Our 2022-2023 operating budget was approved in September with a 5.8% increase, significantly less than inflation rates all of us have seen in other areas.

We mourn the passing of each of our owners and residents, but the Players of the Glen donated $500 to the Memorial Park in memory of Wayne Bryan.

Lastly, on behalf of the HOA Board and the HOA Staff, we would like to thank all the volunteers that have served our community and the HOA on the various committees and other volunteer activities for their tireless efforts throughout the year.
