Report to the Board February 2023

Below are the primary actions that came out of our organizational meeting.

A quick review of the committee’s guidance documents was held. All members had reviewed them and had no questions.

Areas where we thought we could help were identified. In order of researching are
• the HOA weekly bulletin. Director Kozak invited Joyce Gillespie to our next meeting to identify the needs.
• Understanding how the flow of information and guidance works now. Mike will work on a flow chart as the first step.From understanding the flow, we hope to identify where the committee can assist.
• Long term project – understanding the current processes for working with the internet and television. This will include discussions with Jim and Karen Mars.

We identified a regular meeting date and time as the third Wednesday of each month at 1:00 p.m. beginning on February 15. Director Kozak worked with Kim to reserve the conference room.

The committee members are interested in new members who have experience in communication and or a desire to work in communication. This request was added to the weekly bulletin.

Additional topics discussed and prioritized.

• Access to a variety of communication documents such as meeting agendas, meeting minutes. The committee could use this to help in communicating accurate information in a timely manner. Director Kozak did work with Manager Gillespie to identify the best method of receiving the information and which items will be most helpful.
• Fixing the links to areas that are listed in the weekly bulletin, finding things on the HOA website, a site index for the HOA website.
• Finding out how many residents receive the weekly email. Joyce provided Director Kozak this information.
• Getting ability for the committee to send group emails in the future. The information that would be in the emails may require approval prior to sending.More discussions will be held on this topic.
• Additionally, after our meeting a request for a committee email address was requested. Manager Gillespie is researching how to do this.

Report to the HOA Board February 7th
January 2023 Report

The ARC received 39 applications for the month of January with 39 being approved, 2 denied and 4 place on hold for further information.

The ARC members were instructed to slowly enter violations using common judgement after the hurricane. Heading back to the normal inspections we encountered the same type of roof damage experienced after Irma as we were just catching up.

ARC Application submission deadlines and meetings:

• The deadline for the February 14th ARC meeting has passed.
• For application review at the February 28th ARC meeting, applications and support documents must be submitted by February 21st to the HOA Office.

The ARC wishes to remind residents to print the Contractors and Vendors notice that is included with your application approval letter and provide a copy to your contractor. The notice says the following:

PLEASE READ BEFORE ANY TYPE OF WORK BEGINS IN HERONS GLEN
AND PROVIDE A COPY TO YOUR CONTRACTOR

Speed limits in Herons Glen 26 mph on Herons Glen Blvd. and 16 mph on all neighborhood streets.

No Contractors or vendors are permitted entry into Herons Glen between the hours of 7:00 p.m. to 7:00 a.m. Monday to Saturday and no entry on Sundays.

Upon entering the community each driver must register with Security the first address they are going to and register other addresses that they will be working on.

Delivery trucks for a contractor must register with Security the address or multiple addresses they are delivering to.

Companies caught soliciting will not be allowed access again without approval from HOA Manager.

Construction trailers, trucks or equipment on wheels is not to be left overnight on property, roadway, sidewalk or lots.

All items left in the roadway or sidewalk must be registered with the HOA Office and have orange safety cones placed around them.

At no time, is the contractor allowed to post a sign on a Resident’s lot except the contractor may post a permit board with the permit attached, no company name or advertising.

Contractors and Vendors are responsible for any damage to the roadway, sidewalk, landscaping. The HOA will hold both the Homeowner and
Contractor/Vendor responsible to timely repair all damage.

Contractors are not allowed to dig in any area without calling for locates. It is the Homeowner’s responsibility to make sure the contractor checks for utilities, fiber optic lines and storm drains prior to digging or driving over common areas.

The homeowner is responsible for contacting the Community Irrigation Manager at 239-731-4524 at least 24 to 48 hours prior to commencing any work that may interrupt the irrigation service.

The Homeowner will need to contact Security to register contractors that will be working at the home. Provide Contractor name and person responsible for building site, contact phone number, and list all subcontractors who will need access during the construction work.

The contractor hired by a property owner to do work on their property is expected to have control over their job site and take necessary precautions to prevent a safety hazard. The notice above is provided to educate the homeowner and provide a reminder to the contractor.

Please do not assume the homeowner is aware of a hazard or when it occurs or that the hazard was reported by someone. The HOA will contact the homeowner and contractor when a safety issue is found or reported. We encourage residents, employees of the HGRD to contact the HOA Office immediately if you see any construction hazard in the roadways.

Monthly Report of the Meeting of January 16, 2023,
for the HOA Workshop Board Meeting, February 7, 2023

The HOA Activities Committee met on Monday, January 16, 2023, at 10:00 AM. Present at this meeting were Pat Stuchly, Chair; Bernadette Schirra, Debbie Baker, Theresa McGarry, Jean Lambeseder, Donna Piascik and Debbie DeFazio; alternates Peggy Lindquist and Sandy Mamer. Also present was our Board Liaison Denise Fell.

Points discussed at this meeting included:
• Activities Fair – February 5, 2023 – 12:00 PM – 3:00 PM Ballroom
• Shredding Event – February 13, 2023
• Crime Prevention ID Theft, Dr. Kim Swanson which will be held on Thursday, February 23, 2023, from 11:00 to 1:00 pm- CANCELLED
• “Stuff the Truck” Event – March 4, 2023, to support Hope Hospice
• Next to be held on Thursday, February 16, 2023, at 10:00 AM.
