Communication Committee March Report

Given at the HOA Board April 4th Workshop

All Committee Member projects were reviewed, and recommendations were discussed.

It was agreed the following actions would be completed for our next meeting.

The chairman of the Welcome Committee will be contacted to invite a representative to attend the next meeting in order to discuss how the Organizational charts can best be utilized. The focus will be if the charts will be useful during the Welcome Visits with new residents.

The charts will not be used until after a review and approval by Manager Gillespie and the HOA Board.

Recommendations provided by Manager Gillespie will be included in an update of the organization charts.

Six months of weekly bulletins will be evaluated to help determine how the committee can assist in providing the most repetitive and important topics to the residents. The committee is working towards the goal of increasing residents’ knowledge of the formal requirements that all residents agree to when they live in Herons Glen.

The HOA Bulletin summary that is planned to be a monthly article in The Heron will be improved with an expanded definition of what it is and how to find the past bulletins. The purpose of putting the summary in The Heron is to provide a handy reference for the residents to answer their questions.

A discussion was held on how best to obtain new members for the committee. Using Ad Hoc members for special topics or projects may be a reasonable way of obtaining the skills needed by the committee. Full-time members and alternates are still needed. Notices asking for volunteers will continue.

Increasing the variety of methods to communicate requirements and/or restrictions are being discussed by the committee. Using illustrations in the HOA weekly bulletins and The Heron is one example. Developing unique illustrations will be discussed with the Artist Group.

In May the Grounds Committee will be invited to attend our meeting. The Grounds chairman will be contacted to identify a representative to attend.

The April meeting will be held on April 19, 2023, at 1:00 p.m.

President’s Report - April 2023

As you know, there is a lot of activity throughout the Glen during April as “high season” comes to a close. The Activities Committee will again hold an Ice Cream Social on Sunday, April 16th as an end of season get-together and a chance to say goodbye to our snow birds.

The HOA and HGRD will sponsor a joint Volunteer Appreciation Reception on Wednesday, April 19th. Volunteers should have received their invitation by now; be sure to respond as directed.

Unfortunately, our community experienced a fatal golf cart incident this month. Please be especially careful in the Glen and out as you drive, bike, walk, jog or drive a golf cart. Obey the stop signs and speed limits and watch out for each other.

Note: The HOA/HGRD volunteer appreciation event is held each year. The current event is for HOA volunteers that served from October 1, 2021 to September 30, 2022 and HGRD volunteers that served May 1, 2022 to April 30, 2023.
