The HOA Activities Committee met on Thursday, April 17, 2025. The meeting was called to order by HOA Board Liaison, Denise Fell at 10 a.m. In attendance: Susan Darcy, Susan Gregor, Jane Holdridge, Jeff Jensen, Susan Offutt and Susan Wasserott. Joyce Foreman and Debbie McKinstry had excused absences.
March 20, 2025, meeting minutes were approved unanimously.
Current account balance: $926.39. A $1,000 check was written to the Island Coast High School Jazz band from donations from Residents.
Denise explained that committee members must reapply annually for HOA committee positions. All current members received the 2025/2026 Volunteer form and if interested were asked to submit it to the HOA office to be considered for next year’s HOA Activities committee. It was mentioned that the committee is still in need of a chairman.
In October, once the 2025/2026 HOA Activities Committee has been established, we would like to look at purchasing Tee Shirts/Name Tags so we can be easily identifiable at events.
Completed Events
- Over 200 Residents and their family members came together to enjoy the Island Coast High School Jazz Band at the HOA Activities Ice Cream Social held on April 6, 2025, from 3:00-6:00 p.m. Donations collected allowed us to make a $1,000 donation to their music program which will enhance the Jazz Band’s ability to continue to produce exceptional music and positively impact the lives of its young members.
Upcoming Event
- The Tangled Roots Potting Bar will be here on Saturday, May 10th from 1:00 – 4:00 pm (Mother’s Day Weekend) offering pots and plants (succulents/cacti) for residents to assemble for a fee based on pot size. The event will be held in Activities Room A and the outdoor Gazebo area. People can pay with cash or with credit cards. Souvenir pictures of attendees will be taken and emailed back to them. As of April 29th, 2025, 35 residents have signed up for the event.
Future Events
- 5K Walk/Run- Still awaiting response from legal in regard to any legal and liability issues by hosting a 5K run/walk. Jeff met with SSEP and they offered road management safety should the event take place. Project design tasks such as costs, location, sponsorships, T-shirts, routes, waivers are on hold until we receive HOA approval to move forward. Denise submitted the HGRD form to reserve the Golf Course driving range parking lot to start/finish the race. The tentative date for the event is Saturday, March 14, 2026.
- Golf Cart Madness – February 2026 – Will ensure all Carts involved are insured and registered through the HOA.
- Joint Barbecue with SSEP – Charity Event- Summer 2025 – No Update
- Senior Health Expo – The committee discussed holding an Expo here, including Estate Attorneys and Funeral/Cremation services. Research will continue over the summer.
- Christmas decorating contest including Candy Lane – Winter 2025- Article will be sent out in October Magazine making Residents aware of the upcoming contests.
- The Christmas Golf Cart Parade is tentatively scheduled for December 7, 2025. An article will be submitted for the October Magazine informing residents, clubs, sororities, and activities of the opportunity to enter carts in the parade. It will be specified that if a minimum participation of carts is not met, the parade will be canceled. The ballroom and parking lot have been reserved for this event. There will be discussions with the Chorus regarding a potential Christmas sing-along in the ballroom, contingent on whether the parade takes place. All carts participating in the parade must be insured and registered through the HOA.
- Home & Garden Show – 2026 Denise Fell & Joyce Forman – Summer research needed
- Anniversary Dance – 2026 Denise Fell & Suzanne Offutt
- Technology Classes – 2026 Looking for new Instructor who can provide a “how to use features “class rather than a technical class. Several members of the Committee are researching some options.
- Master Gardener Speaker – Will work with Shery Van Der Heiden, the Florida MGV Coordinator to schedule a speaker in Herons Glen in January 2026.
The next meeting is on October 16, 2025, at 10:00 am in the HOA Conference Room. If a summer meeting is needed, emails will be sent to coordinate with available members.
